Equipment database record

An equipment record holds one asset: a vehicle, generator, trailer or similar. Reach it from Databases, Equipment tab: choose New, or tick one row and choose Edit.

Add or change equipment

  1. Type the Equipment name and choose the Equipment Type. Both are required.

  2. Under Odometer & Service, enter the current reading (hours for a generator), the Next Service reading and, if you have it, the Next Service (Date). Remaining is worked out for you: a whole number, such as 7,920, in the asset's own units (kilometres for a vehicle, hours for a generator), amber with due soon when fewer than 500 remain or the service date is within 14 days, and red with overdue when the service reading is reached or its date has passed. It is blank while no next service is recorded.

  3. Under Fire Extinguisher, enter the tag date and net mass.

  4. Switch Active off when the equipment is no longer used.

  5. Choose Save. Save stays greyed until you change something, a change of Equipment Type included.

Last Inspection and Inspector are filled in by the inspection forms and cannot be typed here.

Defects and work orders

An existing item's record has a Defects panel beside it (below it on a tablet or a phone): every fault its inspections reported, open or rectified, with the report behind each and a Work order for your fitter. The panel is described on Equipment defects and work orders.

Good to know

  • Quad Bike and Vehicle are not offered for new equipment. An existing item that already has one of them keeps it.

  • On Databases, the Attention Required filter shows equipment due for service or whose extinguisher tag is more than 180 days old, and the Open defects column beside each asset's name shows its open faults.
