Equipment compliance record
An equipment compliance record says which inspections a piece of equipment needs on one project. You reach it from Compliance, Equipment tab: choose New, or tick one row and choose Edit.
Add equipment to a project
Choose the Type (it starts on Light Vehicle), then the Equipment. The list shows only equipment of that type. Quad Bike and the old "Vehicle" type are not offered for new records.
Choose the Client and Project, and the Departure Date.
The inspection requirements fill in from the project's vehicle settings. Departure, on-site (daily, weekly) and return forms are in their own sections.
If the equipment's name contains "(Rental/Other)", fill in Rental Details.
Choose Save. Save stays greyed until you change something. If a required field is empty the app says "Fill out all required fields". The record appears in the Compliance list straight away.
The status is set for you from the departure date. Type and Equipment cannot be changed once the record exists.
How equipment joins and leaves the list
What adds equipment. The forms ticked under Equipment Trigger Forms on the project's record add equipment that is in the Equipment database on the profile and not already on the list:
a Journey Management Plan or Emergency Response Plan adds each vehicle, caravan, generator, quad bike or trailer it lists, except rentals;
a Vehicle Equipment Checklist adds equipment on a Pre-Campaign;
an inspection adds the item when its type puts it into use:
Form | Types that add it |
Vehicle Inspection | Pre-Campaign, Daily, Weekly, Unused, Hire Out, Parked (added as Parked) |
Caravan Inspection | Pre-Campaign, Weekly, Towing, Parked |
Generator Inspection | Pre-Campaign, Daily, Weekly, Unused, Parked |
UTV Inspection | Pre-Campaign, Daily, Unused, Parked |
Trailer Inspection | Pre-Campaign, Daily, Unused, Parked |
A Safety Briefing adds the equipment it lists, as "Upcoming". Each addition sends the same "added" email as for people, to everyone listed under Compliance Reports on Settings.
Hired or "other" equipment is recorded against a placeholder, such as "Generator (Rental/Other)", and told apart by the rental details typed on the form. If the details are typed differently each time, the same hired unit becomes a second item on the list, with its own "added" email and its own daily reminders. Type the rental details the same way every time, for example the registration or serial number alone.
What takes equipment off.
A Return inspection marks it Returned, on the Vehicle, Caravan, Generator, UTV, Trailer, Forklift or Loader Inspection. Overnight it comes off the list and an email says so.
A Return on the Vehicle Equipment Checklist, or on the Vehicle & Machinery Hygiene Inspection, does not take it off.
A JMP End Shift does not take vehicles off: it records a return date only.
Parked takes an item out of the daily inspections without taking it off the list.
Nothing takes equipment off by date.
By hand: on Compliance, Equipment tab, tick the item and choose Delete.
A project can tick "Quad Bike Inspection", but no form has that name: quad bikes and side-by-sides use the UTV Inspection.
Good to know
Back asks "Do you want to save changes?" only if you changed something.
Requirements that are due show pale red.
